Days remaining on license alert
This setting indicates how many days before the RentMagic license expires a warning will be shown on the screen. Before this period expires, the license needs to be renewed in order to continue using the application. Especially in an on-premise situation, it is important not to skip this setting.

Use inventory management
The Use inventory control setting indicates whether the stock should be checked when issuing a new order. If this setting is off, then negative stock can occur.

Default role
When a user is created, this user will default to the role saved in this setting.

Default warehouse
When a user is created, then the default warehouse will be the same as the one saved in this setting.

Default language at login screen
During the login process, you as a user have to select a language. For RentMagic several languages are available. When the login screen is shown, the default language can be selected automatically. This will be the language used by most users.

Automatic password generation on forgetting
This indicates if you will receive a link to set a new password or if a password will be automatically generated for you when you forget your password.

Default client
The setting Default client is only set if you use RentMagic for internal purposes. During the rental process, client data does not have to be entered anymore. You can then only work with contact persons, this saves extra actions.

Use locations
When working with a physical warehouse, it might be useful to create locations. Items can then be located and the correct walking routes can be created during the order picking process. Please note that locations can only ever contain one serial number (unique item). Locations can contain multiple items without serial numbers. It is not recommended to work with locations if you have a small warehouse.

Release serial numbers manually
This setting ensures that when a product comes back in it first enters a check status. The product must then be released first in order to be reissued. You can do this in the Release module. If you are using items that really need to be checked, cleaned or refilled, for example, it is advisable to enable this setting.

Default period
The setting Default period allows you to specify a default period, this default period will be the default value for an issue, provided it is not set on the order itself.

Use transaction types
To group orders during the billing process it is easy to use transaction types. This can also provide additional insight into the trading transactions for later (management) reports. The transaction types can be created in the system as required. During the trading process you can choose a transaction type per document. When a document moves to a next status, the transaction type is inherited to the new document. If you use transaction types, it is not yet an obligation to choose a transaction type per document, you can also leave it empty.

Use date and time
This setting allows products to be rented for a period shorter than one day. In some situations it is necessary to rent out products for a few hours, or half a day. This setting should then be enabled. If you are renting out products for at least a day, you do not need to enable this setting. Some examples:

  • Example of rental with use date/time
    02-03-2017 12:00 to 02-03-2017 13:00 = 1 hour
  • Example without use date/time:
    02-03-2017 to 02-03-2017 = 1 day

By using rental periods without date/time, but only with date, the issue and collection times are considered variable. Time is therefore irrelevant to the price calculation. By using this, it is assumed that the products can only be issued once a day. There is no need to create item periods shorter than 1 day. When you make the value active the application will display the time values in date and time.

Default VAT
In this setting the default VAT code is entered. In many cases this will be the VAT code (or rate) 21%, since this is the most commonly used variant.

Warehouse splitting
The setting Warehouse splitting ensures that results on overview pages like for example orders only show data from the warehouse which is selected at that moment. Orders from other warehouses will not be visible. It is recommended to use this setting if multiple users from different depots are logging into the same RentMagic administration. Unintended data will not be shown, and can be masked with this setting.
