System settings Processes

Intake method
Specifies the default intake method; intake based on order, contact, customer or reference. You can always change the method during an intake. It is useful to enter this setting in advance, so that a default method is always used. Often this is an agreement within the policy settings of the organization itself.

  • All
All items that are active (i.e. rented out) are shown in the intake overview.
  • Contact
During the intake process a contact person must first be selected. All items rented to this contact are then displayed.
  • Customer
A customer must first be selected during the intake process. All items rented to this customer are then displayed.
  • Order
During the intake process an order number must first be selected. Next all the items rented on this order are displayed.
  • Reference
During the intake process you first need to select a reference. All items rented under this reference are then displayed. This option is useful, for example, when collecting items that have been rented out on a project basis.

Latest intake time
In this setting you can specify a time by which the items must be returned. If the items are returned before this time, no extra day is added. If the items are returned after this time, an extra day will be charged. This setting is only used in combination with the Use date and time setting.

Reservation default due dates
This setting specifies the number of days after which a reservation will expire. This setting is needed to prevent unresponsive reservations from being kept in the overview for a long period of time. These reservations will automatically expire. No manual action is then needed to clean up the reservations.

Default length of a reservation in days
This setting contains the number of days a reservation automatically lasts. Of course during creation another period can be selected.

Maximum length of a reservation in days
This setting determines the maximum length of a reservation, for example to prevent items from remaining active with customers for too long. With this setting it is possible to maximize periods. For example in a library it is only possible to keep books for a certain period of time.
