Replacements of serial numbers on active orders.
Synonyms: exchange, swap, replacements
Replace reasons can be used within RentMagic if you are using the replacement of serial numbers, e.g. for long term rental contracts (orders). Serial numbers can be replaced (exchanged) when for instance maintenance has to be done or if there is a defect at the customer. During the exchange process, you must include a replacement reason, so that you can keep track of exactly what happened to a serial number. In this module you can specify the reasons for replacement, which you can select during the process.
Open overview of replacement reasons
To open the overview of all replacement reasons within RentMagic:
- In the main menu, navigate to Settings > Rentals > Replace reasons.
The overview of the replacement reasons will now open.
- Use the filter to search for a specific replacement reason with a keyword.
New replacement reason
To create a new replacement reason:
- From the overview, click New in the action bar.
The details form for creating a new replacement path is displayed. This information corresponds to the General tab of an existing replacement path.
- Please fill in all fields as completely as possible. See the General tab for more information about the fields.
- Click Save in the action bar. The other tabs will also appear. Go through all of them to make the information of the replacement reason as accurate as possible. In each tab you can open the manual separately.
Adjusting the replacement reason
If the modified replacement reason has been used before, the existing reasons will also be renamed throughout the system. This means that you can't just change reasons without thinking about it, but first consider whether the change will affect the existing replacements.
To change an existing replacement reason:
- Use the filter to search for a specific replacement reason with a keyword.
- Double-click the respective replacement row in the overview.
The General tab opens, containing the form of the selected replacement reason.
- Select the tab you wish to adjust.
- Adjust the fields you want to change and check the other information.
- Click Save in the action bar to save the data.
The data is active immediately.
Deleting a replacement reason
Om een vervangreden te verwijderen:
- Use the filter to search for a specific replacement reason with a keyword.
- Select the replacement reason in the overview.
- Click Delete in the action bar.
- Confirm the notification.
Keep in mind that the already created replacements will continue to exist.
